ADMINISTRATIVE ASSISTANT POSITION SUMMARY:

Our company is seeking an Administrative Assistant to manage the office front lobby, handle incoming calls. We are looking for an individual who is efficient and comfortable being a member of a team. The ability to multi-task, while maintaining complex schedules and managing administrative support, is essential in this position. The ideal candidate for this job is resourceful, a good problem solver and organized. Assuring a steady completion of workload in a timely manner is key to success in this position.

REQUIREMENTS, SKILLS, QUALIFICATIONS AND ABILITIES:
• High School Diploma or GED required.
• Proficient in all Microsoft Office Applications, specially Excel and others to include but not limited to: Outlook Express, Internet Explorer, etc.
• Must possess good customer service skills.
• Must display a professional approach to communication and teamwork.
• Possess a general clerical aptitude and basic knowledge of record keeping.
• Good written/Oral communication and computers skills required.
• Must possess extraordinary organizational skills. Must have great follow up skills
• Have a working knowledge of basic accounting concepts, payroll, and related systems.
• Must be extremely detail-oriented with an excellent analytical ability.
• Must be Able to work flexible hours and meet deadlines.
• Time management and must have great follow up skills.
• Able to keep confidentiality

RESPONSIBILITIES/FUNCTIONS OF THE ADMIN ASSISTANT

Basic Functions and Scope of Responsibilities
• Manage workflow by assigning tasks to other administrative employees daily, ensuring that deadlines are met and work is completed correctly
• Assist in training staff members and new hires
• Implement and monitor programs as directed by management, and see the programs through to completion
• Generate memos, emails and reports when appropriate
• Assume responsibility for maintenance of office equipment, including computers, copy machines and fax machines
• Maintain office supplies by checking inventory and order items
• Respond to questions and requests for information
• Answer incoming calls and assume other receptionist duties when needed
